Wholesaler Requirements and Commission Guidelines

  • Wholesale partners are defined as those who actively promote, market and sell Alaska Wildland Adventures’ travel programs via either online or print promotions
  • Upon publication of catalogs, promotional materials or web presence featuring products operated by AWA, a 20% commission will be payable for the sale and management of AWA products as herein described:
    • 20% commission applies to AWA owned-and-operated trips and products as outlined on our website and brochure (“Adventures” “Lodge-to-Lodge Packages and Links, and Fishing Packages”), when a Wholesale partner makes all payments by company check
      • If a Wholesale partner opts to use a credit card for any deposits/payments, a lesser commission of 18% will be available
      • When payments are made by check, commission may be deducted from the final payment amount and will be reflected on your invoice
    • All optional trip add-ons, including but not limited to Katmailand Bear Viewing, Alaska Railroad Goldstar & Halibut charter upgrades are non-commissionable
    • Any new trips added to AWA’s product line after the publication of the Alaska Wildland Adventures catalog will be subject to commission negotiation with AWA; the above commission structure may not apply to newly developed AWA products.
  • For reservations and sales where the client or the client’s representative contact and reserve space directly with AWA, a lesser “referral commission” will be paid and will be negotiated on a case-by-case basis.
  • Wholesale partnerships are available on a preferred and competitive basis; both parties agree the arrangement is non-exclusive

We pride ourselves in our unique, authentically Alaskan adventures, and we take a more personalized approach with our reservations process. Please place your inquiries with our Sales Manager at reservations@alaska-wildland.com for the most expeditious service on checking space and availability, requesting a quote or to request a courtesy hold.

As a service to you as our partner, our team will provide you with a full quote outlining any applicable upgrade options for your clients to consider, along with tax information and any other relevant details before we accept a deposit. We’ll help answer any and all questions to make the booking process as informative and easy as possible!

AWA Adventures, Lodge-to-Lodge Packages and Lodge Stays

Payment Policies

All trip prices noted in our catalog are based on double occupancy. Taxes and seasonal fuel surcharges, when applicable, are not included in trip price and are subject to change prior to trip departure. We accept checks, MasterCard, Visa and Discover.

Payment Schedule: Amount Due per Person: 
121+ days prior to departure: $1,000 or 50% of trip total, whichever is less 
120 to 61 days: 50% of total 
Within 60 days: 100% of total 

For Alaska Trip Add-Ons, additional deposits will apply in accordance with the specific Trip Add-On and operator. These deposit terms will be explained at the time of booking.

Reservations made within 60 days must be guaranteed with MasterCard, Visa or Discover. Late payments may result in releasing your reservation and rebooking will be subject to availability. Cancellation fees will apply.

Upon receipt of your initial deposit, we will send you written confirmation, trip planning materials and a travel insurance application. We recommend that you purchase travel insurance.

Cancellation Policy

Our policies go into effect at the time of book and upon receipt of deposit. Written cancellations and changes must be received in our reservations office to be valid. Non-appearance for program will result in no refund.

If the cancellation or change occurs:

121+ days prior to departure: The fee is $300 or 10% of trip total, per person, whichever is less 
120 to 91 days: The fee is $600 or 20% of trip total, per person, whichever is less
90 to 46 days: 50% of total trip cost, per person
Within 45 days:100% of total trip cost, per person

Refunds

No refunds will be made on individual features, transfers or sightseeing voluntarily omitted by the participant. No refunds for unused services will be issued. Our tours operate rain or shine; see our Notes About Weather for more details. Refunds for cancelled flights or any services reserved outside of Alaska Wildland Adventures will be made in accordance with the rules of the carrier.

Travel Protection

We recommend that you purchase a travel protection plan to help protect you and your travel investment against the unexpected. Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more.

Alaska Wildland Adventures reserves the right to make changes and alterations as may be found necessary for safety and proper handling of trips. We spare no effort to assure a safe trip; however, outdoor activities of this nature are not entirely “risk free.” We cannot assume responsibility for injury to participants or personal belongings or for time or expense incurred. On advancement of deposit to Alaska Wildland Adventures, the depositor agrees to be bound by all of the above stated terms and conditions whether booking through an agency or directly with our office. Prior to your trip, you will be required to sign an assumption of risk form. 

Kenai Riverside Fishing Multi-Day Packages

We accept checks, MasterCard, VISA and Discover. Kenai Borough Tax varies based on the number of nights you stay with us. Seasonal fuel surcharges, when applicable, are not included in trip price and are subject to change prior to trip departure.

Alaska State Fish and Game Bag Limits

Alaska Wildland Adventures and Kenai Riverside Fishing strictly adhere to all regulations pertaining to restrictions, harvest, and catch and release limits of all fish species as mandated by the Alaska Department of Fish and Game. From time to time, we may establish even stricter company policies with regard to catch limits and catch and release if it is deemed to follow best practices for the continued sustainability of certain species. In these situations, company policy shall supersede state regulations, and these policies may be implemented at any time, even during the course of the current season, depending upon the species and the situation.

We believe this approach is in the best interest of the conservation and perpetuation of Alaska’s fish populations and the surrounding ecosystem upon which fish species depend. Upon booking a fishing trip with us, you agree to comply with these policies.

Guest Health and Safety Guidelines

If your clients become ill or injured during any point of the trip or lodge stay, AWA staff will follow its guest care protocols based upon the unique needs of the situation. AWA may require guests to take a Guest Health Self-Assessment, and if a certain threshold of symptoms are present, AWA may require guests to be seen by nearest qualified medical professionals and cleared by a physician before returning to the trip; costs and additional arrangements of such medical care while on trip are the
responsibility of our guests. We highly recommend travel insurance.

A Note on Weather Interruptions at Kenai Fjords Glacier Lodge

On rare occasions, rough weather forces us to cancel boat transportation to the Kenai Fjords Glacier Lodge. In the remote chance that our boat captains determine safe and comfortable boat travel to the lodge is not possible, the Alaska Wildland Adventures (AWA) staff will take the following actions on behalf of your guests:  

1. Attempt to reach the Wholesale Sales Agent or Sales Manager, who will then directly confer with the guest to select from the available change options. 

2. If the Wholesale contact cannot be reached in a reasonable timeframe, or time zones are such that contact is not reasonable, AWA will directly confer with the guests to select from the following options. 

3. At all times, AWA will work diligently to ensure the guest experience is minimally impacted by a weather delay.

Guests will have the option to select one of the following actions, with options depending on the length of trip reserved.  When we have the guests in our presence, we will ask them to mark and sign documentation selecting their top choice. In some cases, agreements are made by phone, in which case email confirmations between Wholesaler and AWA will be sent.  

  • Reschedule: We will reschedule your guests travel dates for the same amount of nights and guests at another time during the season (please note: this option is quite rare, as the lodge is usually sold out and guests often do not have much travel flexibility)
  • Refund for Missed Nights: We will refund or prorate the missed night(s) of the trip to the wholesaler at net cost, and the wholesale partner will arrange accommodations, activities and meals
  • Substitution: If space is available, we will transport your guests to another Alaska Wildland Adventures lodge (or comparable property) for full-service accommodations, activities, and meals. Please note this option is based on availability. A $150 per person, per night refund is offered for the Substitution option 
  • Stay with us, on us: For guests already at the lodge and for whom weather interruptions may impact the tail-end of their stay, guests may opt to stay at the lodge as many days past the original departure date as it takes in order for the weather to abate and boat service to be restored, at no additional cost to the guest(s).

Occupancy Details; Dates of Operations; and Important Disclosures

Occupancy Details: Our pricing is based on double occupancy.  For those travelers wishing to secure single or multiple occupancy accommodations, please reference the following guidelines.

  • Single supplement for all lodge packages and Guided Adventures: 25% of the package price
  • Discount for triple/quadruple occupancy for lodge package: -$25 per person, per night
  • Discount for triple/quadruple occupancy for Guided Adventures: -$100 per person

Dates of Operation: Below are our tentative dates of operation for each lodge. Please keep in mind that the length of our operating season is subject to change; any rare changes impacting dates of your reserved trips will be communicated you well in advance.

  • Kenai Riverside Lodge: Late May – Mid September
  • Kenai Backcountry Lodge:  Late May – Early September
  • Kenai Fjords Glacier Lodge: Late May – Early September

Important Disclosures: Alaska Wildland Adventures owns and operates the Kenai Backcountry Lodge, the Kenai Riverside Lodge, the Kenai Riverside Fishing Program, and the Kenai Fjords Glacier Lodge. It does not control certain other third-party entities which may provide goods and services for your trip, including, for example, air or other transportation companies, other lodging facilities, food service providers, and equipment suppliers. The costs and scheduling of travel, accommodations, and associated services, unless otherwise specified, are the responsibility of our guests, and any delays, cancellations, or other travel alterations affecting a guest’s AWA itinerary will be the sole responsibility of the guest. Alaska Wildland Adventures will not assume any additional costs and shall not be liable for any delay, damage, injury, death, or loss of any kind whatsoever due to the acts, omissions, or negligence of any third-party service or transportation providers.

AWA reserves the right – prior to departure, in its good-faith discretion and in extreme circumstances that warrant it – to adjust pricing, programs, scheduled dates, and itineraries in the event certain conditions outside of its control threaten the health, security, and safety of its guests, employees, or property, including those caused by ‘force majeure’ events (including but not limited to war, acts of terrorism, pandemics and epidemics, civil strife, labor conflicts, and natural disasters), substantial changes to national or global economic environments, acts of governmental authorities, and any other conditions resulting in the complication, impracticability, or impossibility of undertaking certain or all AWA activities. If a trip is cancelled in progress, the tour operator will best attempt to prorate a refund based on the number of days not complete. In any case, AWA cannot guarantee any refund amount due to cancellations beyond our control and strongly recommends that all guests purchase travel insurance.

Trip Confirmation

Once you’ve discussed availability and terms for your client’s first-choice trip, our team will send you an invoice, and the deposit will be due within 7 business days, providing a grace period for check deposits sent by mail. Reservation space not confirmed with a deposit in a timely manner will be released after the 7-day period.

Upon receipt of deposit, our team will send partners a full suite of guest confirmation documents, including a detailed day-by-day itinerary, list of emergency contacts, packing list, recommended reading lists and other helpful trip planning materials, which may be passed along to the client. Materials will be sent electronically for ease; hard copies are available by special request. Guests must complete a Guest Information Form and Participant Agreement in advance of arrival and will be provided individualized hyperlinks to do so securely online.

In your guests’ Confirmation Documents, we will provide specific Emergency Contact Information for each location/lodge included in your guests’ travel program. Please make copies of these helpful materials for your records.

After the Trip

We value the special relationship between our partners and their clients, and Alaska Wildland Adventures does not retain or use any client contact information shared with us after successful completion of a trip. Guests will have an opportunity to submit feedback to our team post-trip, and we encourage you to reach out to the Reservations Specialist who assisted you to let us know how we’re doing!
